Frequently Asked Questions
How can I learn about available positions at the University of Chicago?
Job postings are available 24 hours a day at http://jobopportunities.uchicago.edu on any computer with Internet access. In addition, all University of Chicago positions are listed with America's Job Exchange at http://www.americasjobexchange.com and through GC HERC at http://www.gcherc.org.
How do I apply for positions at the University of Chicago?
You must first complete an online profile at http://jobopportunities.uchicago.edu on any computer with Internet access. You can view open positions and apply to any listed position by answering job-related questions and attaching an electronic resume, a cover letter, and other documents as indicated. The application documentation will be immediately viewable by the hiring manager if you meet the position requirements. If you don’t meet position requirements, your resume will not be forwarded to the hiring department and you will not be considered for that position. Please bring a disk with your resume, cover letter, and any other documentation needed with you if you plan to use the computers at Employment Services. Can I apply directly with the hiring department?
No. The UChicago Jobs online employment system is the central intake point for all University positions. Only those individuals applying through UChicago Jobs will be considered applicants and will be evaluated as applicants by the hiring unit. I need to make changes or additions to my online profile or my attached documents. How do I do this? UChicago Jobs allow you to update and change your profile at any time using your user name and password. The updated profile will apply to all positions applied to after the edits are made. The attached documents cannot be edited or changed once submitted. If you withdraw your application, you cannot reapply for the same position again. Does everyone have to fill out a profile? Yes. The profile asks for important information that may not be included on a resume and serves as the official application. Can I attach a resume to my application?
After completing the profile, you will then be able to apply for positions. Each time you apply for a position, you will be asked to attach a resume. In order to attach a resume, you will need to have your resume in an electronic format such as Word or a PDF file. You will download your resume to the UChicago Jobs Web site. Can I use more than one resume?
Yes, you can submit a new resume for each position for which you apply. The system will hold several versions of your resume, which can be attached to subsequent applications. You will be able to view the resumes you have on file.. Can I still submit a cover letter?
You can submit a cover letter if the system lists it as either a required or optional document. The system will hold several versions of your cover letter, which can be attached to subsequent jobs to which you apply. If a department does not request a cover letter then you should only attach the requested documents. How soon will I hear something? Applicants will know immediately if they have been referred to the hiring department for review. Once your application is submitted, you will receive a confirmation number and note indicating whether or not your application has been submitted to the department. Hiring departments will contact applicants they wish to interview. The review process takes time. You will be contacted if the department wants to interview you. If you are not contacted, the hiring department has made a decision not to interview you. You may not be selected for interviews for a number of reasons, one of which is that there maybe other applicants who are better matches to the position. You can check the status of your applications by clicking "Manage Jobs" after logging into UChicago Jobs. If your application indicates "in process," your application has been passed on to the department and you are an active applicant being considered for the position. How long can I use my profile to apply for positions?
Profiles remain on file as long as you are actively applying for positions. Profiles can be updated at any time by using the Manage Profile link. What are the pay ranges for posted positions? Job seekers are encouraged to apply for positions of interest for which they meet the basic qualifications. Hiring units determine pay rates within University guidelines, which include consideration of the following: job classification; pay range; market pay information; unit budget/ability to pay; and internal equity. Hiring Units determine whether to publish their pay ranges or not.
Salary information for positions represented by a bargaining unit is posted. More information about union salary ranges may be obtained in the union contracts available at: http://uhrm.uchicago.edu/employeelabor/unions/.

What if I am interested in a janitorial or food service position? Most of these positions are outsourced through external providers. This means that they are not University positions. Instead, another corporation provides these services to the University through a contract. Most custodial services are outsourced to ABM. ABM's administrative office is located downtown at 180 N. LaSalle Street, Suite 1420, Chicago, IL. You may apply in person between 8:30am – 5:00pm, Monday through Friday. If you are interested in a food service position, please contact ARAMARK's Administration Office. ARAMARK's administrative office on campus is at 5640 S. University, Chicago, IL 60637 (in the Bartlett Dining Commons). You may pick up an application between 10:00am and 5:00pm. What if I am interested in a faculty position?
If you are interested in a faculty or other academic personnel appointment, please contact the appropriate department directly for more information. You may also view current postings at http://jobs.uchicago.edu.
Can I contact the hiring department to find out more about the job?
Unless the hiring department lists a contact in the job posting, the departments do not encourage direct contact. If a job was posted a few months ago and remains on UChicago Jobs, is it really still open?
If a job is listed on UChicago Jobs, it is open. Be aware that some jobs take longer to fill than others and may be open for up to six months. The units have the ability to close a requisition at any point within the six months posting period. If the department is interested in pursuing you as a candidate, you will be contacted. If I am a job seeker who resides outside of the United States, how do I complete the demographic portion of the profile? If you are a job seeker who resides outside of the United States, the fields for the demographic information are in text format and will allow you to appropriately enter your contact information. Thanks for your help, but what if I still have questions? If you have questions or feedback, please email us at employment@uchicago.edu.
