HR Managers User Site
Requisition Organization. The beginning part of the posting details page of the requisition has been reorganized to assist the Employment and Compensation Offices in posting and classifying positions.
EARP (Employee Assistance Referral Program). Departments have the option of adding a bonus incentive to current employees in referring qualified applicants for difficult to fill positions. On the posting details page of the requisition, departments may list a bonus amount if applicable. If the position is not bonus eligible, 'None' will be listed in the space.
New Hire Paperwork. Departments should send all new hire paperwork directly to the Records Department, 2nd floor of Ingleside Hall, once a position has been filled by the Employment Office.
New Employee Orientation. Departments may send new hires to orientation on any Wednesday they choose within the first 30 days of the new hire's employment. An orientation packet my be picked up from UHRM.
Posting Dates. Departments are not able to edit the posting dates. This is something that must be done by the Employment Office. For requisitions created from a previous posting, the Employment Office will change the dates once the requisition is received.
Hours if Other than Regular (8:30am - 5:00pm). This field shows on the applicant site and departments may enter in a schedule for job seekers to see when applying for available positions if the schedule is other than the regular University schedule. If the hours are regular, 'Regular' will be listed.
Inactive Section. The inactive section of the requisition has been configured to refresh as soon as the option has been selected. This eliminates the long delays experienced in the past.
Inactive Applicants. Inactive job seekers cannot be considered applicants as they have either not met the minimal requirements of the position or have not completed their application and been screened by the posting questions. Questions on inactive applicants need to be directed to a representative in the Employment Office.
Required vs. Preferred Documents. A new option has been added to the posting details page of the requisition for departments to request whether they require or prefer certain documents. A resume will always be selected as a required document. Other documents selected as required will be stated in the qualifications section for job seekers to know before applying to the position.
Additional Documents. Additional documents cannot be requested for union positions. Only the resume is required for submission for union positions.
Left Hand Navigation Bar. Two new links have been added the under job postings section - "view pending' and 'view in process'. This feature will assist departments with finding their requisitions in various stages of the requisition flow process without using the 'search' feature although it is still available.
Not Hired Statuses. Four new statuses have been added - Not Hired-Not Interviewed-Send Letter, Not Hired-Not Interviewed-No Letter, Not Hired-Interviewed-Send Letter, Not Hired-Interviewed-No Letter. These new statuses will assist the Employment Office as well as the departments in keeping track of which applicants have been interviewed opposed to those that have not. Also, if selected, the system will now be able to send close out letters to the applicants to let them know the position has been filled.
Automatic E-mails. HR Administrators have been set up to automatically receive an e-mail when a position that has been submitted has posted on the UChicago Jobs website.
Applicant User Site
Search by Union. Job seekers are now available to search by union depending upon if it is a union position.
Email Address. The email address field on the profile has been required for job seekers to fill out when creating the profile. If a job seeker does not have an email address, a link to Yahoo and Hotmail have been provided for the job seeker to create an email account. The email address field has been made a requirement for when departments select one of the newly added statuses of Not Hired-Interviewed-Send Letter or Not Hired-Not Interviewed-Send Letter, applicants will be notified that the position has been filled.
Source Field. In order for the Employment Office to run statistics on how job seekers learned about position openings on the UChicago Jobs website, the source field has been required. Job seekers will be able to check mark next to one of the following fields indicating how they became aware of the website.
